Case Study: Client Database for a Financial Counselling Service

Client: A NSW-based financial counselling not-for-profit

The problem: Client records were kept on paper, in filing cabinets. Finding a client's history or notes meant physically searching through paper files.

What we built: A full client database covering contact details, case notes, and appointment scheduling with automatic SMS confirmation to clients. It integrates with SharePoint so every client automatically gets their own linked document folder, and includes built-in SMS and email (via Microsoft Graph) so counsellors can contact clients directly from within the system. We also built a custom "money plan" tool specific to the financial counselling workflow, and a statistical reporting module that generates the reports required for government and funding-body compliance.

Result: This replaced paper-based case management entirely. The organisation can handle a growing caseload without it becoming unmanageable, and counsellors spend more time actually supporting clients rather than searching for their file.
